How to Report a Phishing Email Using the KnowBe4 Phish Alert Button in Outlook

Purpose

This guide explains how to report suspicious emails using the KnowBe4 Phish Alert Button (PAB) in Microsoft Outlook. Reporting phishing emails helps protect both you and the organization from malicious email attacks.

Applies To

  • Microsoft Outlook (Desktop)
  • Microsoft Outlook (New Outlook)
  • Microsoft Outlook on the Web (if the KnowBe4 Phish Alert Button is installed)

Before You Begin

  • Ensure you have the KnowBe4 Phish Alert Button installed in Outlook.
  • Only report emails that appear suspicious or unexpected.

Tip: If you're unsure whether an email is legitimate, it's always better to report it than to interact with it.


Step 1: Open the Suspicious Email

  1. Open Microsoft Outlook.
  2. Select the email you believe may be a phishing attempt.
  3. Do not click any links, open attachments, or reply to the sender.

Step 2: Click the KnowBe4 Phish Alert Button

Locate the Phish Alert button in Outlook.

  • In Classic Outlook, it may appear on the Home ribbon.
  • In New Outlook or Outlook on the Web, it may appear in the toolbar or under the Apps menu.

Click Phish Alert.


Step 3: Confirm the Report

  1. A confirmation window will appear explaining that the email will be reported.
  2. Review the message.
  3. Click Phish Alert, Report, or Yes (depending on your Outlook version) to submit the email.

Step 4: Verify the Email Was Reported

After the report is submitted:

  • The email is forwarded to your organization's security team (or KnowBe4 service).
  • The email is typically moved to your Deleted Items folder.
  • A confirmation message may appear indicating the report was successful.

No further action is required.
